INITIAL FREE CONSULTATION.


Within 5 days of your initial approach to us we will contact you to arrange a free initial consultation meeting at your offices or on site at which we will discuss all aspects of your project; design, budget building cost, Planning & Building regulation applications, Planning Condition Applications, Party Wall notices, tendering, other consultancy services, contract administration, time-scales and architectural fees. We will give you a written fee proposal which will be based on our declared fee scales and which we will not be varied for the duration of the agreed services which we will provide for you.


DESIGN SERVICES.


Should we be appointed we will re-visit your property or site to carry out a site survey of the relevant parts of the building or site. Where the site or building is of considerable size we may advise appointment of an external surveyor. Within an agreed time-scale we will prepare draft design drawings which will be in outline and show sufficient detail for approval or amendment of the design. At this stage we will amend the drawings as many times as are necessary to secure client approval. When we receive sign off of our design proposals we will proceed to preparation of the planning application or in some instances where the project may need a consultation with the planning office, to a pre planning consultation.


PRE PLANNING CONSULTATION.


Larger projects which are not straightforward or which are large in relation to the existing property or which are in prominent locations may need discussion with the planning department to determine the level of support that the proposal will get through planning. In these cases a Pre-Planning Consultation with the local authority is advisable, some local authorities will agree to an informal meeting to discuss the project at their offices but most expect a written submission with draft proposal drawings. The planning officer will then give a written opinion within two - four weeks. Should planning amendments be suggested at this stage we will amend the drawings for further client approval  When design sign off is achieved we will proceed to preparation of the planning application.


PREPARATION AND SUBMISSION OF PLANNING APPLICATIONS.


Within the agreed time-scale we will add further detail information and necessary planning annotations to the drawings to show the proposals in the best light for planning consideration. We will seek a final client approval of the drawings before making the application. We will complete all application forms as agent for the applicant and submit a digital application over the internet. Where changes to the design are requested by the planning officer we will undertake all design work to incorporate the changes to client approval as many times as are necessary through the planning process. Our fees for the Planning application become payable at the time of submission.


PREPARATION AND DEPOSIT OF BUILDING REGULATION SUBMISSIONS.


Within six weeks of Planning consent we will add further construction information to the drawings to show compliance with the Building regulations. We will undertake all necessary design work to incorporate planning changes to client approval, complete all application forms as applicant’s agent and submit a postal application or where available a digital application over the internet . Our fees for the Building regulation application become payable at the time of submission.


PREPARATION AND SUBMISSION OF CONDITION DISCHARGE APPLICATIONS.


Planning consent is generally awarded with conditions attached. Some conditions are simple e.g. That the works have to be commenced within three years, others require a further planning submission e.g. Traffic Impact Analysis. This element of our services cannot be predicted at the initial free consultation and will be included as an optional service and fee in the initial quotation. Should we be instructed to proceed with condition discharge applications we will undertake all necessary design work to client approval, complete all application forms as applicant’s agent and submit a digital application over the internet. Altenatively we may advise appointment of additional consultants where the nature of the planning condition requires a specialist knowledge e.g. Acoustics. Our fees for the Planning condition discharge applications become payable at the time of submission.


CONSTRUCTION INFORMATION.


Within the agreed time-scale we will add further detail information and annotations to the drawings and prepare an NBS minor works specification document to form the construction information package for a drawings and specification tender. All information will be as far as is possible complete prior to tender. Our fees for the preparation of Construction Information will become payable at the time of invitation to tender. Printing costs will be charged at cost as a disbursement.


TENDERS.


Within the agreed time-scale we will tender the works as a single stage competitive tender based on the Construction Information pack to an agreed number of tenderers. The tender list will be drawn up in consultation with the client. We will receive the tenders, analyse submitted prices and recommend acceptance of the winning tender after due appraisal of cost information and other factors.  We may advise appointment of a cost consultant to issue and appraise tenders where the works are sufficiently complex.. Our fees for the Tender stage become payable at the time of invitation to tender. Printing costs will be charged at cost as a disbursement.


CONTRACT ADMINISTRATION.


We will award and set up an appropriate JCT form of contract between the client and the successful tenderer.  We will administer the contract in accordance with normal architectural practice. Our fees for the Site Work phase will be payable monthly and will be charged as an agreed  percentage of the construction cost. Printing costs will be charged at cost as a disbursement.


DRAWINGS AND APPROVAL DOCUMENTS.


When we request client approval of design drawings we will provide one copy of the drawings for your records. When we submit any information to the local authority or other organisation on behalf of the applicant we will provide copy of the as submitted documents and drawings for your records. When we receive the decision notices from the local authority or any other organisation we will provide the original documents for your records and will retain a copy for our records.


POSTAGE AND PRINTING.


We will pay all postage costs involved in carrying out the above, printing costs will be charged at cost as a disbursement.
